How your Phone Calls Are Processed by Centratel
Phone Response
Our Telephone Service Representative (TSR) answers a call promptly, stating, “Answering for (your company’s name.) How may I assist you?” (Of course, this “phraseology” can be adjusted to your preference.)
Screening and Prioritizing
Our TSR quickly “captures” your caller and then determines if the call is an emergency or not, based on the predetermined criteria that you’ve specified.
Text Alert and Callback
The TSR takes all the pertinent information from your caller: name, phone number, and the reason for the call, then informs your caller they should expect a return phone call within a specified amount of time.
Notification to Management
Our agent either instantly dispatches the message by texting the on-call staff (called, CLEAN-SCREEN® service, and preferred by most of our Property Management clients) or by placing a direct call to the on-call staff. Your choice!
Instantly enhance the efficiency of your Property Management operation.

US – Owned and Operated
For four decades (our 40th anniversary was December 1, 2024), Centratel has been proudly owned and operated exclusively within the United States by a single owner, Sam Carpenter. We never route calls offshore. Never! And we don’t use AI for call handling. We promise one hundred percent human engagement.
Monthly Billing Cycle
Centratel’s billing process encompasses an entire month, resulting in twelve statements per year. In contrast, and as a too-clever way of surcharging customers, many of our larger competitors use a 28-day billing cycle, effectively creating an additional thirteenth billing statement each year. Centratel’s traditional, clearly defined monthly billing is transparent, consistent, and simple to understand.
Pay-per-Call
And, unlike many of our competitors, we charge for the work we accomplish, not for the time we spend with your callers.* At Centratel, we offer a fixed fee for each call, while we don’t charge for electronic message delivery. This ensures clear and predictable costs, leading to understandable and dependable billing.
*Are you being billed by the minute?

Property Management Attributes Fact Sheet (10/20/2026)
Memo: to senior management and staff (and for transparency, posted on website)
Definitions: For any answering service, there are three participants:
- “Service” refers to a property management answering service
- The “client” is a business that has hired the answering service to process incoming calls
- The “caller” is the party calling the client’s office and, via call-forwarding features, reaches the answering service whose TSR processes calls in real time.
Other definitions:
- TSR: acronym for “Telephone Service Receptionist” (also called telephone service representative, agent, or operator), the people who process incoming calls
- “Machine”: Centratel’s colloquial term for voicemail or artificial intelligence call-answering
- “Call Capture”: The term is under consideration for legal trademark status. It describes our technique for not letting any calls go unanswered, i.e., “no more hang-ups.”*
- “CLEAN-SCREEN®: our Trademarked term for our message delivery protocol, which is fast and inexpensive (and the antithesis of the preferred delivery routines of our time-billing-based competitors)
THE FOUNDATIONAL ATTRIBUTE: CENTRATEL is the only answering service in the U.S. that charges clients for the work that is accomplished, not by the elapsed time expended to do the work. All additional attributes listed below stem directly or indirectly from this seemingly minor detail.Regarding the “call-capture answering service” (Centratel) vs. standard answering services (everyone else): ninety-eight percent of standard answering services are subsidiaries of a handful of foreign-owned multinational “mega-services.” We offer low cost AND the highest quality because of one simple, fundamental difference from our competitors: we bill our property management clients by the completed task, not by operator (telephone receptionist) time expended on handling messages. This is the opposite approach of virtually all of our competitors. Because they charge by the elapsed time of operator assistance (and customer service time, etc.), our mega-service competitors have painted themselves into a corner, where profit margins depend on low-cost, inexperienced telephone service representatives who take a long time to process each call. At Centratel, the people who handle the calls are assets to be cultivated, not expenses to be minimized.
(Note to staff and the general public): In reviewing this Fact Sheet, you will learn the fundamentals of how we operate with our property management clients and their callers, including accuracy, speed, call control, customization, resilience, stability, low cost, and transparency. -sc). Note, you will notice some repetition of points as some affect more than one category.
Note that I have emphasized the most important points in two categories: “ATTRIBUTES” and “TOP 10 ATTRIBUTES.”
* What is a call capture answering service? When people call a client’s business and those calls are routed to the answering service, a human answers every call, eliminating hang-ups. No artificial intelligence or voicemail trees. Hang-ups altogether stop: People don’t hang up on people.
1. Prospective Client Requests
Here, Stephanie Foreman, Sales Manager (and Deputy Operations Manager for Quality Assurance), gives us her summary of the five most frequent concerns of inquiring prospective property management clients. The list is in descending order of frequency. Note that the primary desire of inquiring potential clients is for a highly professional, empathetic “live” human being to process their calls at a reasonable price. (Prospects may or may not already have an answering service.)
- No AI or voicemail answers incoming calls. Prospects complain that automated systems:
- Cause lost business (the caller hangs up and goes to their competition)
- Irritate callers, especially the client’s current customers
- Can’t handle nuance or complex, urgent property management issues
- U.S.-based receptionists. Prospects ask where the answering staff is located. (100% of Centratel answering staff is within the United States. Specifically, located in Idaho, Kentucky, Tennessee, Texas, and Oregon
- Availability on nights and holidays. Prospects ask about a 3 a.m. burst pipe and Christmas calls. Many are surprised that our 24/7/365 coverage is at no extra charge for weekends, holidays, etc.
- Knowledge of specific industries. Prospects want urgent calls to reach the right person, routine calls to wait, and the ability to text multiple contacts or follow an escalation process. Centratel serves a limited number of industries. The contrast between a fast-leaking toilet and a maintenance appointment illustrates these delineations.
- Continuity of ownership and operation. Prospects are reassured by stable leadership amid numerous industry acquisitions. For the last six years, the rest of the industry has been in a buy/sell frenzy, and for a client, a change in ownership almost always creates massive operational and/or billing problems for the answering service client. Note also the chaotic industry “bloodbath” of 2020, as a result of the COVID 6-foot distancing mandate. Sam Carpenter has owned and managed Centratel for 42 years.
TOP 10 ATTRIBUTE: We are the highest-quality answering service in the United States, and our costs are among the lowest. This has everything to do with the way we bill our clients. Read on to learn more.
2. Details…
- TOP 10 ATTRIBUTE: Centratel is the highest quality property management answering service in the United States, AND we are inexpensive. This has everything to do with how we bill our clients: by the task, not elapsed time. The following is from our website’s homepage: Q: My current answering service’s quality is not good, and it seems expensive… A. There is a good reason for this. Today, most “independent” answering services are actually international mega-service subsidiaries, and virtually all of them charge their customers via “time-billing.” This is the elapsed time that agents spend processing calls (and often includes customer on-hold time, customer service calls, etc.). This encourages hiring low-paid agents because the longer it takes to process a call, the more the client is billed. At any answering service, new, inexperienced agents aren’t just agonizingly slow as they learn on the job; they make errors. Not only that, the expensive, charge-by-the-minute billing method is the perfect platform for overcharging customers because answering-service clients can’t verify their charges. Here’s an example of customers winning a multi-million-dollar class-action lawsuit against their own time-billing answering service! Note that here at Centratel, a large percentage of our new customers come to us because of quality and/or billing problems with their high-staff-turnover mega-answering service subsidiary (which continues to advertise the name of the local purchased service even though calls are routed elsewhere for processing). Yes, with elapsed-time billing, high cost and poor quality are inextricably connected. The old saying, “You get what you pay for,” doesn’t apply here. Truth is, we provide the highest quality service in the U.S. for less than 90% of our competition
- TOP 10 ATTRIBUTE: Centratel offers “Human-first” call answering. This means a Centratel receptionist, also called a TSR, agent, or operator, always answers incoming calls from tenants or landlords to the answering service client. Not voicemail or AI. The caller is not faced with talking to a “one-way machine.” Therefore, there are zero hang-ups. “People don’t hang up on people.” But most standard answering services of today (usually large “mega-service subsidiaries”) urge their customers to use their highly profitable voicemail and AI-assisted answering, either eliminating the high-cost human element altogether or offering it as an expensive option. With the standard answering service, having a real person answer a call is seen as a drain on profits, and yes, the necessary personnel-training hurdles are substantial. And never mind that a LOT of callers hang up on voicemail and other machine-assisted answering mechanisms! The truth remains that people want to talk to people. We call this zero-hangup protocol, “call-capture.”
- TOP 10 ATTRIBUTE: Our telephone service receptionists are, by far, the highest-paid professionals in the industry.
- TOP 10 ATTRIBUTE: It’s a philosophical management positioning; The agents who process calls are assets to be cultivated, not expenses to be minimized
- TOP 10 ATTRIBUTE: No offshoring, ever. All U.S. based receptionists.
- TOP 10 ATTRIBUTE: We are inexpensive in comparison to competing “time-billing” property management answering services, as mentioned above. Centratel’s customers are billed by the message, not by elapsed time. This means we charge only for the tasks we accomplish, while all other standard answering services charge by the minute (and note this: those billable minutes usually include customer service calls from the client into their service, as well as on-hold time for their callers)
- As noted above, time billing is complex and thus ripe for fraud. See lawsuit details here.
- TOP 10 ATTRIBUTE: Centratel is a “call capture” answering service
Of the “Top 10 attributes, this is our most powerful selling point and what distinguishes us from standard answering services: having real people (not voicemail or AI machines) “capture” every single incoming call for the client. It’s a fact: “People don’t hang up on people” (but they frequently hang up on machines). That’s lost revenue for the answering service client. To economize (live operators in any context are expensive, compared to machines), our competitors often use automated voicemail or AI (very inexpensive to the answering service!) to actually answer the incoming calls for their clients, but in doing so, they lose some amount of business for the client because, as noted, people hang up on machines (!) Why? First, of course, no one likes a one-way conversation with a machine. Second: leaving a message with a machine delays action. Who knows how long it will take for a real person to listen to the message and then call the caller back? Yes, keeping prospective customers and existing customers engaged, gathering useful information, and getting that information to the appropriate people is the goal of every answering service, whether “Call Capture” or “standard.” But that is where the similarity ends. We answer with people, not machines, 100% of the time, seizing every single call that appears. Note: We use the term “call capture” as a simple marketing clarification to point out exactly what our primary aim is: to capture every single incoming call with a live human being. Regular answering services push clients to use machines. Human-first call capture means a human answers and secures a message. Our Trademarked service, CLEAN-SCREEN® (see below), is for what happens AFTER we have secured the call. The term “call capture” is under review by the federal government for trademark protection. Centratel is the only “call capture” answering service in the U.S. There are no extra charges to the client for this protocol. In summary, from our website home page: Q: Centratel is now a “call-capture answering service?” Please explain…. A: Yes, businesses invest enormous amounts of time, money, and effort building their reputations so potential customers will call when they need their product or service. Yet too often, managers of those same businesses rely on automated systems—or marginal-quality telephone answering services—that frustrate callers and cause valuable opportunities to slip away unnoticed. This erodes the client’s bottom line as their callers quickly give up and go to the competition. The simple term “answering service” is insufficient and innocuous, stemming from the 1940s “lady next door” who would take messages in the business owner’s absence. The task now? It’s to professionally capture every single call that comes in. No more hang-ups! The goal isn’t just to answer calls. Today, it’s to “capture” new clients while keeping current customers happy and satisfied.
And the most effective way to capture calls is through human interception. People hang up on automated systems! And with traditional answering services, agents often know very little about the business they represent. And, callers don’t want to leave a one-way message to a machine. They want answers, reassurance, and a human connection…NOW!
Professional phone answering for your business isn’t an expense! It’s a revenue-generating opportunity. That’s why we’re more than a standard telephone answering service.
We’re a “call capture answering service.”
TOP 10 ATTRIBUTE: Explain the history. Multinational, foreign-owned mega services took over the industry in 2020, but Centratel survived the purge. When Covid struck early that year, 99% of independent services weren’t technically equipped to have their agents answer from home, but they had to comply with the COVID 6-foot distancing mandate. The end result was a bloodbath within our answering service industry: Almost overnight, these independent operations either closed their doors or sold their customers to one of a handful of huge, multinational, foreign owned “mega services.” In 2020, in the U.S., there were approximately 2,500 independent answering services. Today, including Centratel, only twelve remain.
TOP 10 ATTRIBUTE: TSRs are highly paid, career professionals. Their wages are double the industry standard, and they have excellent benefits. We recently had three of our TSRs retire. The had, 28, 29 and 30 years of tenure with Centratel. Centratel is a great place to work! Remember, the owner of Centratel has always viewed the agents who handle the calls as assets to be cultivated, not expenses to be minimized. - TOP 10 ATTRIBUTE: CLEAN-SCREEN®. In the telecommunications industry, this is a unique message-delivery protocol. Other independents and mega-services don’t tout it because they bill by elapsed time, and the CLEAN-SCREEN delivery protocol is incredibly fast. We never put callers on hold, and calls with our receptionists are brief and concise, almost always under a minute. The caller, our receptionist, and the business owner LOVE this. No one wants to be on hold. The message is delivered instantly.
How it works: Our receptionist answers the customer’s call and quickly gathers the caller’s name, phone number, and a brief message. Then he or she (usually a “she.”) reassures the caller that “our on-call (tech, nurse, doctor, etc.) is assisting someone else right now but will return your call as soon as possible. Please keep your phone available and expect a prompt callback.” The interaction is professional, efficient, and fast. Before ending the call, the receptionist advises the caller: “If you haven’t heard back from our on-call person within 15 minutes,** please call us again.” (Usually, the call back to the caller happens within 2 minutes.) CLEAN-SCREEN® is federally trademarked by Centratel, and it works perfectly in conjunction with the “call capture” service described above. There is no extra charge for this service. - TOP ATTRIBUTE: No additional charges to the client for holiday or weekend coverage
- TOP ATTRIBUTE: Per “call capture,” every single incoming call is a new revenue opportunity for the client. A call capture answering service protects those opportunities by securing every single call that arrives.
3. How and when calls are sent to Centratel
| Method | Trigger | Practical use |
|---|---|---|
| Busy-line forwarding | The client’s line is busy | Too many incoming calls. Not enough staff to simultaneously cover every incoming call |
| No-answer forwarding | The call “rings out” after a set number of rings | No one answers the incoming call |
| Manual or intentional forwarding | The client manually (deliberately) routes incoming calls to Centratel. | After-hours coverage, daytime meetings, lunch breaks, etc. |
The telephone company often bundles busy-line and no-answer forwarding (“Call forward busy/don’t answer.”)
- Many clients use the telco company’s busy/no-answer feature during the day and switch on manual forwarding after hours. Manual forwarding overrides the busy/no-answer feature. Some clients leave busy/no-answer rules active day and night; this causes several rings at the client’s location before Centratel gets the call (which can be a negative: people get frustrated and hang up)
- After-hours manual forwarding: our TSR receives every call, documents the need, and immediately relays the matter to the designated client’s on-call person per account instructions if that is what is mandated by the client
- Forwarding determines when the TSR receives a call. Client account instructions determine how the TSR handles the delivery of the information to the proper person
- Beforehand, the answering service client specifies the exact greeting the receptionist will use, determines what information must be gathered, establishes on-call relay protocols, defines routine versus urgent message criteria, and sets delivery and/or escalation steps. The TSR does not make independent clinical, technical, or business-urgency decisions. The receptionist will follow the instructions exactly, as set forth by the client, always erring on the side of caution if there is a question of urgency.
- Clients can use Centratel to absorb call volume they can’t economically staff for themselves and at a much lower cost than hiring their own full-time or part-time staff? Seasonal traffic spikes, storms, lunch coverage, staff shortages, unusually busy days, etc..
4. Call handling and handoff
- TOP 10 ATTRIBUTE: Precisely scripted, perfectly executed call handling by a career professional human receptionist. In setting up the account, the client specifies an exact “answer phrase” and precisely what information our receptionist should gather. From callers, our receptionist gathers the caller’s name, callback number, reason for calling, and any additional context relevant to the issue. For example, an HVAC business will need the Centratel receptionist to distinguish a mechanical failure from a maintenance inquiry; a property manager needs a building/unit address or number; a disaster restoration company needs the exact incident address; and a medical account needs certain patient information. (These are examples, not universal scripts.) In any case, urgent messages are delivered instantly
- Written, actionable criteria matter: call handling instructions such as “notify us about important calls” would require our receptionist to guess. Instead, when setting up the new account, the client defines exactly what qualifies as urgent and who to contact, and how. But for some clients, determining whether a call is urgent is as simple as asking the caller, “Is this an emergency?”
- ATTRIBUTE: Clients can choose real-time individual message delivery, and/or scheduled batch message delivery. Electronic message delivery is at no charge.
- Routine message delivery options include voicemail, fax, alphanumeric page, SMS/text, email, special on-line, and live-call. Custom delivery combinations can be configured. No charge for electronic or online message delivery
- A “live-call transfer” (sometimes called a patch or cross-connect) is when our agent directly connects the caller to the client’s designated on-call person.
- E-relay is the client’s 1-2-3 custom sequence of contact instructions for reaching on-call personnel. The protocol may step from a text to a call, then another text to a second staff member, etc. Agents follow the sequence until delivery occurs. (Note: CLEAN-SCREEN protocols are simple. See below.
- TOP 10 ATTRIBUTE: CLEAN-SCREEN® is Centratel’s super-fast message delivery/callback protocol. The TSR obtains a name, callback number, and brief message; tells the calling tenant or landlord to keep their phone available for a prompt return call; immediately texts the designated on-call person; and advises the caller to call again if no response arrives within the account’s chosen interval (usually fifteen minutes). The on-call person makes the callback to the caller. The caller is not asked to stay on the line, but to “stand by” their phone without making any further calls.
- Centratel emails, faxes, or downloads reports of the actual message relay sequences individually or as daily, weekly, and/or monthly summaries. No charge for these reports
- Actual voice call recordings are available on request.
5. Coverage and customers
- TOP 10 ATTRIBUTE: No extra charges for holidays or weekends. Centratel provides live answering 24/7/365, including holidays, and for daytime overflow, after-hours coverage, emergency dispatch, etc. For some clients, we also provide seamless “front office” coverage if they don’t have a physical office. In this, we faithfully represent the company’s brand. Compared to standard answering services, this is an important sales distinction.
- TOP 10 ATTRIBUTE: Centratel is HIPAA-compliant Secrecy and privacy are paramount.
6. Business model, billing, and comparison
- TOP 10 ATTRIBUTE: Centratel bills by transaction unit /work accomplished. This method discourages hiring new, slow, inefficient representatives. And it discourages long on-hold times for callers.
- TOP 10 ATTRIBUTE: low-medium range of pricing, often ½ the cost of standard answering services
- Unlike time-based answering service statements, Centratel’s statements are easy to understand, and clients, on their own, can easily verify charges are correct
- Top 10 Attribute: Time billing versus transaction billing. Some competing answering services bill clients for elapsed call time, hold time, and client-customer support conversations. For a standard answering service, time billing incentivizes longer calls and less-qualified TSRs, while Centratel’s transaction billing aligns with efficient handling, investment in skilled people, easier invoice review, and super-efficiency for the caller. At Centratel, there is never an extra charge for customer service conversations. Transaction billing is not susceptible to fraud, while time billing can create opportunities for it. One giant mega-service, Ruby Receptionists, was successfully sued by their own customers for overbilling their customers.
- ATTRIBUTE: There are no extra fees beyond the monthly core charges (base rate and overcalls)
- TOP 10 ATTRIBUTE: Unequaled business stability. For 42 years, Centratel has been owned and operated by one person, Sam Carpenter.
- ATTRIBUTE: Anyone who inquires about Centratel services will receive a free hardcover copy of Sam’s book, Work the System: The Simple Mechanics of Making More and Working Less, now in its 5th edition. It will be sent out the same day the prospective client talks to us.
- TOP 10 ATTRIBUTE: Rates start at $175 per month, positioned in the low-to-mid range of the U.S. answering service industry. Monthly client billings extend from the first day to the last day of a given month, rather than on a 28-day cycle. (A 28-day cycle—typical for a standard answering service—produces 13 billings over 364 days, versus 12 for Centratel. It’s simply a scam (and for the larger services, it’s been going on for a long, long time…).
- TOP 10 ATTRIBUTE: There is a no-deposit, no-obligation 30-day free trial intended to demonstrate quality risk-free and to provide a realistic estimate of future monthly costs. This 30-day free trial is unmatched within the industry. Most standard answering services don’t offer a trial at all, or if they do, it’s only 7 or 10 days and requires a credit card deposit.
- ATTRIBUTE: New Service can often be activated within hours.
- TOP 10 ATTRIBUTE: Service is month-to-month, with no long-term contract or deposit
7. Service quality, people, systems, and support
- TOP 10 ATTRIBUTE: Incessant drug testing. In the answering service business, receptionists (TSRs, agents, or operators) must be 100% clear-thinking. These days, recreational drug abuse, particularly cannabis, is rampant. We have had zero success hiring great people in states that have legalized cannabis (and have typically reduced penalties for other illicit drugs). At Centratel, we perform random, unannounced drug testing at least three times a year. Everyone takes the test. First offenses mean immediate loss of job. No second chances. (Many business owners say they drug test their people, but they only test at the interview stage when hiring a new employee. Very few businesses do ongoing, random, and frequent drug testing—which Centratel defines as drug testing. Centratel’s owner (Sam Carpenter) is adamant about the importance of this ongoing effort. He says, “we can’t rank as the highest quality of answering service in the country if we employ stoners”).
- A cultural problem is short attention spans. People want things to move quickly and then they want to instantly get on to the next item on their personal agenda for the day. There are several contributors to the broad attention span deficit that we see today:
- Our education system has de-emphasized reading, writing, and language skills.
- “Screens” are everywhere; people don’t talk to each other much anymore. Impatience is “built in.”
- The ubiquitous “texting mentality.” These very quick, short, interruptive back-and-forth transactions strongly contribute to short attention spans that are necessary to navigate social media
- Artificial intelligence does the writing and composing, so people don’t learn personal literacy skills through repeated trial and error.
- Reading books is THE therapeutic solution to shortened attention spans, but people, in their frenzies, don’t read books much anymore. (It’s a vicious circle: the shortened attention spans themselves make reading a chore).
- TOP TEN ATTRIBUTE: Centratel’s Customer Reported Error Rate for July through September, 2026 was one customer-reported error per 7,488 message transactions. This is unmatched within the industry.
- Centratel quality is a product of
- Our one-of-a-kind per-task billing protocol
- Highly paid career TSRs and the resulting low staff turnover,
- Documented system protocols and relentless system improvement of these procedures. (See Sam’s book)
- Intense training and ongoing monitoring
- Encouragement of customer feedback
- Recurring, frequent, unannounced, drug testing
- TOP 10 ATTRIBUTE: Up to 40% of TSR individual wages are tied directly to their own personal performance.
- Full system redundancy. Two hosting sites: one in Oregon and the other in Texas. One of three IT engineers is on call 24/7/365.
- Laura Grace Marksberry is Operations Manager. The operations number for current clients’ questions is 1-888-482-4393. Our sales inquiry line is 1-800-664-7159 and email is inquiry@centratel.com for prospective customers.
- Experienced customer service representatives set up and refine client accounts, and an operations supervisor is always available for client questions.
8. What Centratel offers across industries
Centratel markets its service to a defined set of businesses and professions rather than every possible business type.
| Specialty | Typical reason for coverage | Handling distinction |
|---|---|---|
| Medical offices | Emergency coverage and administrative backup during busy weekdays, nights, weekends, and holidays. | HIPAA-compliant processes and client-defined emergency relay; receptionists do not make clinical decisions. |
| Home health and hospice | Calls from patients and families around the clock. | Compassionate, HIPAA-compliant handling and designated on-call contacts. |
| Veterinary practices | Daytime overflow, after-hours, and weekend calls. | Routine requests can follow a different path from an account-defined urgent concern. |
| Property management | Tenant and property calls at any hour. | Urgent maintenance can go to on-call staff while routine matters await office follow-up. |
| HVAC/HVACR | Seasonal surges, after-hours breakdowns, and ordinary service requests. | A total system outage and a future maintenance appointment can have different contact rules. |
| Disaster restoration | Time-sensitive incidents and leads. | Obtain location and situation details, then dispatch or deliver according to the account. |
| Trade services | Plumbers, electricians, emergency restoration firms, and related trades. | Capture calls and immediately contact designated on-call responders for emergencies. |
| Plumbing | Day and overnight calls, including urgent leaks and flooding. | Distinguish urgent work from routine scheduling using the plumber’s rules. |
| 24/7 businesses | Ongoing incoming calls when in-house staff cannot answer every call. | Act as an extension of the office according to its procedures. |
9. Summary: Ten reasons to choose Centratel
The “Why Choose Centratel” essay on the Getting Started page presents the following points:
- 30-day free trial. The trial provides time to fine-tune message taking/delivery protocols and to estimate ongoing monthly cost. Many new accounts previously used another provider and switched to Centratel due to quality and/or cost concerns.
- Measured quality. For July through September, 2026, the customer-reported error rate was one error per 7,488 message transactions
- Customer service. Highly skilled customer service staff who listen carefully to concerns and then instantly act
- Fast onboarding. A new account can often be active within hours.
- Pricing and transaction units. Starting price of $175 per month; billing by accomplished tasks rather than elapsed call duration. We are unique in this billing strategy. Every other answering service uses time-based billing models. Centratel is in the low-to-medium industry price range
- Meaningful price comparisons. Billing formulas vary; in the 30-day free trial, a full month of actual usage will be more accurate than a guess
- Calendar-month billing. Centratel bills from the first to the last day of each month; in contrast, standard answering services often use 28-day billing periods, generating thirteen billings in one year.
- No term contract or deposit. Service is month-to-month, with published Terms of Service. See it here
- Book offered to prospects. We will send a hardcover copy of Sam Carpenter’s Work the System: The Simple Mechanics of Making More and Working Less to anyone who inquires about Centratel service.
10. Additional FAQ facts and company operations
- TOP 10 ATTRIBUTE: Centratel survived COVID. One of a handful of answering services that survived the 2020 COVID-mandated 6-foot distancing rule. There were 2,500 answering services in 2020. Now there are maybe 12, and Centratel is the only one that uses per-call billing rather than time-elapsed billing.
- TOP 10 ATTRIBUTE: Multinational, foreign-owned mega services took over the industry, but Centratel survived the purge. When Covid struck in early 2020, 99% of independent services were not technically equipped to have their agents answer from home rather than from their established central location (remember shoulder-to-shoulder cubicles?) Nevertheless, every answering service had to comply with the 6-foot distancing mandates. The end result? There was a bloodbath within our answering service industry: these independent operations either closed their doors or sold their customers to one of a handful of large foreign-owned multinational “mega services.” Today, approximately twelve independent answering services, including Centratel, remain. Here is the story in detail.
- People: For the hiring process, Centratel recruits one new TSR from more than 100 applicants. Training and monitoring are hyper-intense, benefits are strong, and overall tenure is substantial. Our management team has direct experience answering calls. All receptionists are located within the U.S.
- Processes: Written procedures, training, testing, call review, individual performance incentives, customer feedback, and account-specific relay instructions underpin our super-high quality service. Internally, we actually use the tools and processes we sell to clients.
- TOP ATTRIBUTE: Built-in disaster resilience, personnel, and system redundancy. Redundant digital answering systems, an IT engineer on call at all hours, and two hosting sites, one in Oregon, the other in Texas..
- TOP 10 ATTRIBUTE: Stability and one-person ownership for the last 42 years. Centratel is owned and managed by Industry leader Sam Carpenter. Sam is the author of the book, Work the System: The Simple Mechanics of Making More and Working Less, now in its fifth edition. Anyone who inquires about Centratel ‘s services will be sent a book. See www.workthesystem.com for more details.
- Geography: Headquarters are in Bend, Oregon, but Centratel serves clients in all 50 states and in Canada.
- Toll-free service is available throughout the U.S. Physical proximity to our HQ in Oregon is not required for call forwarding.
- Client assistance: Laura Grace Marksberry is the Operations and Quality Assurance Manager. Operational supervisors are available seven days a week, and existing clients use a separate operations department number. Administrative hours are 6 a.m.–8 p.m. Pacific time. Sales inquiry hours are 5 a.m.–5 p.m. M-F Pacific time
- Routine messages: Client-configured voicemail, fax, page, SMS, email, live call, combinations, and online access. Electronic message delivery via text, email, call, etc at no charge. Messages are delivered as they are taken and/or in batches. Archival and hard-copy backup options are available
- Urgent relay: The client decides the 1-2-3 Emergency-relay contact protocol. TSRs precisely follow the account’s chosen sequence until the message is delivered.
- Different from a call center: Centratel exclusively processes incoming calls. A call center usually specializes in making outbound calls.
- THE ULTIMATE TOP 10 ATTRIBUTE: Why billing protocol IS so important: Sam disagrees with this mid-90s development because it turned sophisticated, highly complex answering service businesses into a commodity. Why did the industry adopt this new client-billing status quo? For two reasons. First, it lets an answering service advertise how “fair” it is to prospective clients. They say, “Everybody pays the same because we bill our clients for the actual time our operator spends with callers.” (Today, that charge is about $2.00 per minute). The second reason is that it encourages answering service owners to pay their agents lower wages and to better cope with inevitable staff turnover. These answering services can hire very young, inexperienced, low-wage staffers to answer the incoming calls. These agents aren’t just inexpensive; they take a long time on each call because…they’re inexperienced. The problem is compounded by the fact that most people born after 2000 were raised on smartphones, resulting in short attention spans. Still, no matter how slow and inefficient the agents are, they still generate profit for the answering service owners! In fact, the slower, the better! The underlying message to agents is, “take as much time with your callers as you want.”
11. This is counterintuitive to the above: What kinds of businesses do not require an answering service?
Answering services are most often used by small- to medium-sized businesses, and fewer than 1% of the total 33,000,000 businesses in the United States use one. Here’s a list of those business categories that (probably) do not require an answering service:
Businesses least likely to use Centratel

1. Independent professionals with very low call volume
Examples: freelance writers, illustrators, independent researchers, solo online consultants, and part-time coaches.
Why unlikely: They may receive few incoming calls, communicate mainly by email, or have customers schedule appointments online.

2. Online-only businesses with little telephone interaction
Examples: digital download sellers, subscription software companies with self-service support, online publishers, and small e-commerce stores.
Why unlikely: Sales and customer support are handled through websites, email, chat, or support-ticket systems.

3. Small retail businesses with predictable, limited phone needs
Examples: gift shops, boutiques, craft stores, small clothing stores, and specialty retailers.
Why unlikely: Most transactions happen in person, and the owner or sales staff can often handle the occasional call. Larger or busier stores may be exceptions.

4. Small food businesses with little need for phone orders
Examples: coffee shops, bakeries focused on walk-in sales, food trucks, and small takeout businesses that rely on online ordering.
Why unlikely: Customers order in person or online, and the business may not receive enough calls to justify an outside service.

5. Larger organizations with fully staffed telephone operations
Examples: major corporations, large hospitals, universities, government agencies, and national retailers.
Why unlikely: They often have their own receptionists, centralized call centers, or internal customer-service departments. Some still outsource overflow or after-hours calls.

6. Small production businesses with few customer calls
Examples: independent artisans, small-scale manufacturers selling wholesale through established accounts, and businesses that receive orders primarily through distributors.
Why unlikely: They may have few new-customer inquiries and little need for live telephone coverage.

7. Appointment-based businesses with effective online booking
Examples: some independent photographers, personal trainers, yoga instructors, and small studios.
Why unlikely: Online scheduling and text messaging may handle most routine customer interactions. However, a busy studio can still benefit from live call capture.

8. Businesses with little dependence on incoming calls
Examples: some holding companies, passive investment entities, small businesses conducting almost all transactions through existing relationships, and certain research or consulting firms.
Why unlikely: Their business models generate little inbound telephone activity.
A second group: businesses that probably don’t need an answering service
These are different from the categories above. They receive calls, but may already have a satisfactory way to handle them.
| Business category | Why they may not need an outside service |
|---|---|
| Large professional firms | Dedicated receptionists and administrative staff |
| Businesses with very few customers | Little incoming call volume |
| Businesses that operate entirely through online marketplaces | Customer communication is handled by the platform |
| Businesses with a well-staffed, centralized call center | Existing coverage during and outside business hours |
| Businesses whose customers rarely telephone | Email, apps, portals, or online transactions meet their needs |
| Businesses that deliberately avoid telephone sales | No interest in capturing additional phone inquiries |

1.CENTRATEL’S UNIQUE 30-DAY FREE TRIAL
Why is this important? Because it will provide you a truly accurate estimate of cost (we bill monthly), it will demonstrate our quality, and it gives both sides of this brand new relationship—you and Centratel—plenty of time to refine and perfect operational details.
Here’s a testimonial from a new medical client that had just finished their 30-day trial: “Of course, I love the cost as it is close to the amount I was allowed by the president of the company. I told him that if we did not continue with Centratel, I would resign as the Director of Customer Service, and I meant it. It’s a great fit. We have had NOT ONE complaint from a patient or in-house which, as you know, we received daily with our former answering service. I love you, Centratel, and the price. I’m ready to sign whatever documents you require. Thanks for the great service, and the free month! To a great partnership! -KB, Phoenix“
2.STATISTICALLY, THE BEST IN THE U.S.?
Answering service quality is 100% dependent on human action and reaction, and in the course of a single day a multitude of human decisions are made by the people who process the calls: Telephone Service Representatives, or TSRs. (Some answering services refer to them as “agents.” Others, “operators.”)
Like any other answering service, at Centratel we’re dealing with real live human beings and so human errors can occur. But within this labor intensive service industry that is historically known for marginal quality, Centratel’s error rate is light years ahead of established standards. Our most recent Customer Reported Error Rate (July through September, 2026) was 1 customer-reported error for every 7,488 message transactions processed. That statistic is unmatched.
There’s no artificial intelligence manipulation, we do not offshore calls, and we were founded and have always operated within the United States. (Note that since early 2020, the COVID six-foot social distancing mandate drove thousands of small-to-medium sized answering services out of business. Large, often foreign-owned multi-nationals, disguised by the name of the local answering services they acquired, now thoroughly dominate the industry. Hence, an even further decline in general service quality. See this analysis.)
3.CUSTOMER SERVICE EXTRAORDINAIRE
Your concerns will be instantly acted upon. It’s a work ethic that stands in stark contrast to the general decline in quality of human-to-human business communications. You’ve seen it yourself, all around. At Centratel you will know by name the customer service people you’re working with, appreciating their special listening abilities as well as their take-action-now comportment. e.g. see the testimonial in point #1 above. ‘Nuff said!
4.GETTING STARTED: IT’S SIMPLE AND FAST
Getting your new Centratel answering service 30-day free trial up-and-running is accomplished within 24-48 hours. From the start, your “onboarding” customer service representative will be with you every step of the way, listening carefully to your concerns, answering questions and offering suggestions.
5.NEW TO USING AN ANSWERING SERVICE?
The very large majority of our current answering service accounts switched to us from another service because of quality and/or cost problems. However, if you have not used a service before, you are not familiar with the options, benefits, and pitfalls. Our 30-day free trial provides you—and us—plenty of time to precisely refine your desired message-taking and delivery protocols; to get things exactly the way you want them to be without any financial risk, undue pressure, or obligation.
6.PRICING
Starting at $150 per month, our rates lie in the mid-range of the industry. Note that we charge by the “transaction unit” rather than the duration of time spent handling calls. Large “mega-services” operating in the U.S. prefer time billing because it ensures the company is compensated for lower-paid/high-turnover — and thus slower — agents. No matter the quality or how long they keep your callers on hold, they still make a profit. And yes, it can get expensive, especially if caller on-hold time is also billed.
In any answering service, it takes a long time for a new agent to become fast, efficient, and stable. At Centratel, we pamper and reward experienced agents (via high pay and great benefits) and therefore have extremely low staff turnover. Needless to say, experienced agents make fewer errors than trainees who learn on-the-job. And, transaction-unit billing is easy to understand. There is no room for fraud as in time-billing. We can easily document and explain any monthly billing we send you.
7.ACCURATELY COMPARING ANSWERING SERVICE PRICING IS COMPLICATED
It’s apples and oranges. There isn’t an industry standard for billing, and each answering service has its own formula. Also, as noted above, some services charge by agent “time” while a few, like us, charge by “transaction units.” Some others combine the two. At Centratel, we charge for the work we do, not by the time we spend. The raw truth is that the only reliable way to determine monthly cost for a new service is to use that service for a solid month. Most answering services offer a 7-day free trial or no trial at all. With Centratel you get 30-days.
8. MONTHLY OR 28-DAY BILLING?
Important! At Centratel, we use a “monthly” billing cycle in which invoices are compiled from the first day of a month through the last day of that month. When soliciting quotes from other services, be sure to ask if the base-rate charges are billed monthly or on a “28-day billing cycle.” There is no good reason for a 28-day billing cycle! It’s bait-and-switch: customers billed on a 28-day cycle actually receive thirteen billings per year and therefore the overall cost is higher.
9.NO CONTRACT AND SIMPLE TERMS OF SERVICE
We don’t ask for a term-contract for service because you should be able to evaluate us real-time, without restraint. Our terms of service are simple and straight-forward.
10.VALUABLE FREE GIFT FOR CONTACTING US
If you take the time to discuss answering service with us, on the same day we will ship you a hardcover copy of Sam Carpenter’s bestselling book, Work The System: The Simple Mechanics of Making More and Working Less, now just released in its 5th edition.
